Terms & Conditions

 

TO BOOK - A non refundable booking fee must be paid in order to confirm a booking and secure your chosen date.

A minimum of 3 makeups is required for all Saturday bookings. 

 

PAYMENTS - Payments must be made in advance via bank transfer or credit card for all bookings. Credit card payments incur a convenience fee of 2.9%. The payments are split into two invoices: 

DEPOSIT INVOICE: The booking fee is a portion of your total invoice, which secures your booking. The booking is only confirmed once the booking fee payment is received into Sophie Garth’s nominated bank account. 

FINAL INVOICE: The remaining balance must be paid by the invoice due date. If the remaining balance payment is not made within 5 days, Sophie reserves the right to cancel the booking. 

 

‘Last minute’ wedding bookings made within 4 weeks of the wedding date require the invoice paid in full as a non refundable booking fee payment to confirm and secure the booking. 

Due to the nature of Sophie’s business, being that once your booking fee is received your date is held and secured with all other work turned away, payments are non refundable or transferable at any time and bookings are not able to be postponed. Exceptions to this are noted below in the Covid-19 Policy and the Force Maejure Clause. 

 

CHANGES WITHIN A BOOKING - Requests to increase total numbers will be accommodated where possible, subject to availability. Deductions to the invoice are unfortunately not permitted. Any services no longer required must still be paid for, as Sophie has accepted the booking above others, based on those numbers. 

PUBLIC HOLIDAY SURCHARGE: Surcharge will apply to any bookings accepted on Public Holidays or Valentines Day. 

ADDITIONAL ADMIN FEE: An additional admin fee may apply if correspondence exceeds 25 messages prior to the wedding, via ANY and ALL communication platforms.

TRAVEL: Travel outside of Tauranga will be charged at the IRD recommended rate of 82c per km for the round trip. If accommodation is necessary, this cost will also have to be covered by you.

REQUIREMENTS WHEN SOPHIE COMES TO YOU: Certain requirements are needed when Sophie comes to you, so that she can perform the services to her highest standard. A dining/desk height table must be made available for Sophie to set up at. Ample natural light (north facing windows usually work best) is necessary for services to be performed to the highest standard. A power socket must also be available fairly close to the work area for both hair and makeup services. 

If there is no available parking at the location, the client must inform Sophie in advance so that other arrangements can be made.

POSTPONEMENTS - Due to the nature of Sophie’s business, being that once your booking is confirmed, all other work is turned away, Sophie Garth Makeup Artist does not postpone bookings. If you wish to change your booking to a different date, it will be considered as a cancellation of the original booking and a new booking must be made. Exceptions to this are noted below in the Covid-19 Policy and the Force Maejure Clause. 

 

CANCELLATIONS - Should you wish to to cancel your booking, you agree to forfeit your non refundable booking fee, plus pay any cancellation fees, as noted below. All cancellations must be made in writing via email to sophie@sophiegarth.com

 

CANCELLATIONS WITHIN 3 MONTHS: Cancellations within 3 months of the date the booking falls on will still require 50% of the invoice to be paid, as a cancellation fee. Unfortunately premium date* cancellations within 3 months will require full payment as Sophie may have turned away multiple other brides for this date and may be unable to fill it on such short notice.

CANCELLATIONS WITHIN 1 MONTH:

Cancellations within 1 month of the date the booking falls on will require full payment. 

Upon notice of cancellation, a final invoice will be emailed to the client. Full payment must be received within 5 days of the invoice date. Sophie Garth Makeup Artist reserves the right to take any legal action at any time for non payment. 

 

COVID-19 POLICY - subject to change based on the rules and restrictions within New Zealand Covid Alert Levels. 

Level 2.5, Level 3 or Level 4: Should restrictions be put in place,  preventing Sophie from performing her services on your wedding date, your booking will be transferrable to a new date up to 18 months out from your original date. Normal terms and conditions will apply to the new date. Standard cancellation policy applies if the client no longer wishes to go ahead with their booking on a new date. 

Level 1 and Level 2: Sophie is able to operate at Level 2 and Level 1, therefore bookings may proceed and will be expected to do so. Standard cancellation policy applies if the client no longer wishes to go ahead on their date. 

For weddings;  If Sophie is unavailable for the new date you wish to postpone to, you will instead receive a refund of your final invoice, excluding the booking fee - which covers costs such as, but not limited to, administration between Sophie and the client. 

Note: It is imperative you check with all of your vendors before picking a new date to postpone to, in addition to offering multiple date options. Rescheduling a postponed wedding should be a collaboration between couples and vendors. If you are not postponing and are cancelling your booking, then the standard cancellation policy will remain the same. 

 

CANCELLATION BY ARTIST -  In the unlikely event that Sophie needs to withdraw from a booking,  she reserves the right to do so at any time if she is unable to perform her duties for any reason, without explanation. Sophie will then endeavour to find a replacement, either an artist personally trained by Sophie or a professional makeup artist with a similar style.

 

HYGIENE / HEALTH LIABILITY - You are legally obliged to disclose to Sophie if you are sick, ill or contagious in any way at the time Sophie will be performing a makeup service on you, or if at any time you have come into contact or been exposed to anyone sick, ill or contagious in any way. Sophie Garth Makeup Artist reserves the right to make any final decision on whether a client is unsafe to perform a makeup service on. If the client discloses they are unwell at reasonable amount of time prior to the makeup session, a credit will be offered. If the client has not made an effort to inform Sophie minimum of 4 hours prior to the makeup start time, Sophie is not obliged to offer any credit. The only acceptable form of contact for this is email, call or text. Social media messages are not an accepted form of contact. 

 

FORCE MAJEURE - A Force Majeure Event can be defined as but is not limited to epidemics/pandemics, acts of god, and government restrictions. If a Force Majeure Event prevents Sophie Garth Makeup Artist from providing her services on the event date, Sophie Garth Makeup Artist shall, without limiting her other rights, provide a credit of any payments made (less services already performed) to be used on an alternative date within a 12 month period of initial event date. Standard terms and conditions apply once an alternative date is confirmed. New date is subject to availability.

 

GENERAL - By making a booking with Sophie Garth Makeup Artist the client engages in “Service” and agrees to be bound by the Terms and Conditions. Once you have engaged with Sophie Garth Makeup Artist it is assumed you have read and agreed to the terms and conditions.  These terms and conditions are non-negotiable. Prices and terms are subject to change. Sophie Garth Makeup Artist reserves the right to terminate your booking for any non-compliance of terms without resolution of dispute. All pricing is in NZD and GST is not applicable. These terms apply to Sophie Garth Makeup Artist and any assistant artists. 

* all Fridays & Saturdays between Nov 1 and May 1st + all public holidays
